Consent and communication practices for children and youth within our Safe Sanctuary guidelines.
📝 Simplified Summary
We ask parents/guardians for yearly permission before using youth photos or video. We use group email, Instagram, and occasional text messages with Safe Sanctuary safeguards. You can change your consent or ask us to remove an image at any time.
1) Annual Consent
- Required yearly for children/youth media and off‑site activities.
- Storage: Collected and stored securely with other Safe Sanctuary documentation.
- Third‑party events: For off‑site activities (e.g., camp), we may gather consent on behalf of the sponsoring organization and retain copies for church records.
2) Photos & Video
- Used to tell our ministry story on our website, bulletins, slides, and official social media.
- We avoid sharing last names, exact locations, schedules, or other sensitive identifiers for minors in public posts.
- We do not tag minors’ personal accounts from official pages.
- Livestream services may include the platform and portions of floor seating. See Livestream & Recording.
3) Communication Channels
- Email: Regular ministry email updates (e.g., announcements, schedules).
- Instagram: Updates from the official youth ministry account; no 1:1 DMs with minors from official accounts.
- Text Messaging: Occasional time‑sensitive reminders; opt‑in only. Reply

4) Safeguards (Safe Sanctuary)
- Two‑adult presence for digital groups where practical; leaders use ministry accounts.
- No disappearing messages for official communications; keep messages reviewable.
- Time boundaries: We avoid late‑night 1:1 communication; urgent situations may be handled case‑by‑case.
- Records: Consent records and key communications are retained per our Records Retention schedule.
- Background checks: Leaders are screened on a 3‑year cadence. See Safe Sanctuary & Background Checks.
5) Change Consent or Request Removal
You may change consent at any time or request removal of a photo/video where feasible.
Note: We cannot edit individuals out of livestream archives, but we will consider reasonable steps such as trimming, delisting, or adjusting future camera coverage.
