Photo & Media Policy

How and why we capture photos/video, where they may appear, and how to request removal—especially for children and youth.

Last updated: Maintainer: Communications Office Contact: info@yateschurch.org(919) 489‑2309
📝 Simplified Summary

We use photos and video to tell the story of our church. If a photo of you (or your child) appears and you want it removed, email info@yateschurch.org and we’ll help.

We take care with minors and aim to avoid anything embarrassing or identifying. Livestream video has separate guidelines.

1) Purpose & Values

The purpose of this policy is to let you know that at Yates Baptist Church, we value the way in which photos, videos, and other media help our faith community grow and flourish. Media tells our story, helps guests know what to expect, highlights service, and communicates our mission—both online and in print.

2) Where We Capture Media

Photography, videography, live streaming, and other recording may occur during worship services, ministries, classes, programs, and church events on‑site and off‑site.

3) How We Use Media

Yates Baptist Church may use recorded media in church materials and platforms, including bulletins, posters, brochures, newsletters, our website, and church social media accounts.

We will not knowingly post media that is embarrassing, objectionable, or hurtful to any clearly, personally identifiable individual.

4) Respect & Safety Guidelines

  • Favor group and activity shots over tight individual close‑ups without consent.
  • Avoid sharing sensitive details (e.g., personal crises, counseling) and geolocation of private homes.
  • Crop or blur name tags if needed before posting to public channels.

5) Youth Media & Communications

Consent for youth media is gathered annually and stored securely with other Safe Sanctuary documentation. Occasionally, consent may be collected on behalf of off‑site event sponsors (e.g., camp). Regular channels include email and Instagram, with occasional text messaging.

Contacts for youth media questions: Mackenzie Smith and Christopher Ingram.

Volunteers working with Children, Youth, or the Yates Sonshine Community are background checked every 3 years (with required reporting of changes in between).

6) Livestream & Recording (Overview)

Our services are produced on Boxcast, simulcast to Facebook, and archived on YouTube (@YatesBaptistChurch) and Vimeo (vimeo.com/yatesbc). Primary camera zones include the platform and floor seating.

  • Videos remain public for approximately 1 year on Boxcast/website; longer on YouTube/Vimeo as needed.
  • See details and etiquette on the Livestream & Recording page.

7) Removal Requests

If a photo on our website or social media includes you or your child and you prefer it be removed, please email info@yateschurch.org (Attn: Rebecca Nance). We will review and remove what we control as quickly as possible. Note that we cannot edit livestream recordings after the fact, nor remove media posted by non‑church accounts.
